Compilation
We have our own unusual if not unique system for inventory compilation.
Where most clerks and indeed letting agents turn up with a dictaphone,
make verbal notes then disappear off to their offices to have the report
typed up usually, some days later.
A.A.Inventories usually work in pairs we
take note of the size and basic condition of the property at the
point of booking. We turn up at the property before the agreed check
in time
(or inventory delivery time when no A.A.Inventory check in is required),
then produce the inventory so it is ready at the check in time.
This
cuts down on both traveling and production time allowing us to
cover a much larger area while maintaining a competitive price.
It also
means that although we like to have 3 days notice for each appointment,
we are able schedule permitting to check in tenants with only
a few hours notice.
We work in pairs with one clerk inspecting and dictating, while
the other types the report on a laptop computer. We have found that
with out the transcript from dictaphone to report that our finished
reports are more accurate.
Our in depth detailed reports also include the presence and condition
of any garages, out buildings and gardens,
any gardening or D.I.Y tools and materials along with outside lighting,
refuse bins, washing lines and outside taps.
We also detail the amount and type of all keys including window
lock and meter cupboard keys. We take and detail all meter readings
and
also detail the presence of any instruction manuals.
At check in we meet the tenants, check and collect tenancy agreements
if instructed, then give the inventory to the tenants and inform
them that it needs to be checked and agreed before we can hand over
the keys.
We then return the signed inventory along with any other paper work
or bankers draft payment to the agent / landlord.
We are also able to carry out routine visits and produce a report
for each visit. For this service we ask the agent / landlord to supply
us with a name and contact details at the beginning of the month
in which the visit is due, we then arrange the visit with the tenant
and deliver the visit report by the end of the month. Working in
this way the agent / landlord does not need to worry about tying
up booking times with us and the tenant and we have more flexibility
to organise blocks of visits in a single area again reducing traveling
and production time.
At check out we meet the tenants at the property, detail any variations
to the inventory, take note of a forwarding address and the details
of current service suppliers. We then produce a check out report
detailing all issues and who's responsibility we believe them to
be.
